A pre-season setup checklist for a tractor-based fleet

The work you do before the first storm decides how the season runs. A practical checklist for getting properties, vehicles, depots, and crew ready.

The quality of your winter is largely decided before the first storm. Not by heroics during the event, but by the unglamorous setup work done in the calm of early fall. A fleet that walks into the season with accurate property data, well-placed depots, and a mobilized crew runs storms that feel routine. One that skips the prep spends the season firefighting problems that were preventable in September. Here is a practical checklist for getting a tractor-based operation ready.

1. Get the properties right

Everything downstream depends on accurate property data, so this is where to spend your time.

  • Accurate boundaries. Draw each property's boundary carefully. Completion detection and coverage tracking depend on it — a sloppy boundary means the system cannot reliably tell when a property has actually been serviced.
  • Correct service plans. Each property should carry what it expects: what triggers service, what gets applied, what "done" means. This is what lets any operator service any property correctly.
  • Access notes and hazards. Capture the property-specific knowledge — tricky access, steep grades, sequencing preferences — on the property itself, so it does not live only in one veteran's memory.

2. Place the depots

Your depots are where the fleet launches, and that starting point shapes the entire opening move of every storm — how the machines fan out and which properties get reached first. Confirm each depot is set where your machines actually stage, and if you are debating a second depot or a relocation, this is exactly the kind of question worth testing in simulation before committing to it.

3. Ready the fleet

Make sure every vehicle you intend to run this season is set up in the system with its type and speed characteristics, because those feed the dispatch math. A machine the system does not know about is a machine the swarm cannot assign. This is also the moment for the physical prep — service the equipment — but from an operations standpoint, the key is that the digital fleet matches the physical one.

4. Prepare the crew and communications

  • Roster and contacts. Have your operators set up with the devices they will actually use in the cab.
  • Mobilization channels. Confirm you can reach the crew the way they actually respond — the availability, confirmation, and stand-down flow should be ready before you need it at 4 a.m.
  • Customer notifications. For accounts you communicate with, make sure contacts, language preferences, and opt-outs are in place so start, ETA, and completion messages work from the first storm.

5. Do a dry run

Before the season starts, run a what-if scenario against your real properties and fleet. It validates that your setup is coherent — properties drawn, plans assigned, depots placed, fleet configured — and it surfaces gaps while you can still fix them calmly. A simulated storm in September is a cheap way to find the account you forgot to add or the boundary you drew wrong, instead of discovering it live in December.
