ETAs a customer can actually trust

A moving arrival time projected from the real dispatcher beats a static "sometime today" every time. Why credible ETAs come from the engine, not a guess.

"When will you be here?" is the question every snow customer asks, and it is the one most operations answer badly. The usual answer — "sometime today," or a window so wide it is meaningless — is not really an answer. It is a way of avoiding a commitment. And customers know it, which is why the same anxious ones call again an hour later. The problem is not that customers are impatient. It is that you have not given them anything to trust.

Why most ETAs are worthless

A useless ETA has two tells: it is vague, and it never changes. A four-hour window is vague enough to be technically always correct and practically useless for planning. And an ETA that is fixed the moment it is issued cannot possibly be accurate, because the world it was based on changes constantly — a property takes longer than expected, a machine gets rerouted, the storm intensifies. A number that never moves in a situation that never stops moving is obviously a guess, and customers treat it accordingly.

An ETA that never changes in a storm that never stops changing is not a prediction. It is a placeholder, and customers can tell.

A credible ETA comes from the dispatcher, not a guess

The difference between a placeholder and a prediction is where it comes from. A trustworthy ETA is projected from the same live dispatch logic that is actually running the fleet — the system that knows where every vehicle is, what each is claiming next, and how properties near the customer are sequencing. Because it is derived from the real plan, it moves as the plan moves. When it says forty minutes and later updates to twenty, that is not the system being unreliable; it is the system being honest as new information arrives.

This is a capability you only have if dispatch is a live engine. If the "plan" is a static route sheet, the best ETA you can offer is a human's guess about where an operator is on their list. If dispatch is continuous and position-aware, an accurate, moving per-stop ETA is a natural output of the same machinery. The quality of your customer-facing ETA is downstream of whether your dispatch is real.

Moving beats precise

It is worth being clear about what "trustworthy" means here. It does not mean the first number is exactly right — no honest ETA in a storm can promise that. It means the number is live: it reflects current reality and updates as reality changes. A customer who watches an ETA tighten from forty minutes to twenty-five to ten learns that the number tracks something real, and that learning is what stops the anxious repeat calls. Movement, not false precision, is what earns trust.

A credible live ETA does more than reduce phone calls, though it does that. It changes the customer from a spectator into someone who can plan — clear the driveway, make the morning commute, tell their own residents. It converts your service from an opaque "they will come eventually" into a transparent, trackable event. And transparency, in a business where the work happens at 3 a.m. while the customer is asleep, is a significant part of what they are actually paying for.
